ESSENTIAL DUTIES AND RESPONSIBILITIES
The Assistant Registrar at University of the Potomac work collaboratively with the Registrar to fulfill and improve the office’s functions. Both Registrar and Assistant Registrar will report to the Director of Student Support Services
Major responsibilities include:
· Creating courses in the student information system
· Ensuring rooms are available for courses
· Entering class scheduling information in the student information system
· Fulfilling transcript and education verification requests
· Processing leaves of absences
· Training and directing the activities of the office’s student workers
· Creating and archiving soft and hard copy of student files
· Helping refine and optimize office operations, communications, and initiatives
· Auditing Student files to ensure compliance
· Student registration
· Entering Transfer Credits into student information system
· Processing of Withdrawal Requests
· Work Closely with Registrar to complete quarterly Departmental Assessments
· Other Duties as Assigned
JOB REQUIREMENTS:
Education:
Experience and Competencies:
· Minimum of 3 years’ experience in a Registrar’s Office or closely related office in an institution of higher education
· Skilled in providing exceptional service, operating smoothly in a small team, and navigating complex organizational procedures
· Comfort with communicating and upholding policies
· Knowledge of federal regulations governing student records and AACRAO best practices
· Experience with a relational database, especially a student information system
· Computer literacy and knowledge of Microsoft Word and Excel required. Experience with Jenzabar products desired.
· Strong written and verbal communication skills; able to convey complex information clearly and diplomatically.
· Comfort with managing detailed, fluctuating data while keeping pace with multiple appeals for attention
· Capacity to use independent judgment and to perform successfully without close supervision
· Familiarity of educational regulations such as FERPA.
