Job Summary
The Faculty of Medicine inspires and enables excellence in health care through its medical education and research programs, and by serving and engaging society. Reporting to the Director, Office of Community Partnerships and Global Health, the Administrative Assistant is a primary contact and support resource for Serving & Engaging Society and the Office of Community Partnerships and Global Health, Faculty of Medicine.
Key Responsibilities
- Supports the Associate Dean, Serving & Engaging Society by coordinating their schedule, drafting correspondence, and completing expense reports. Coordinates travel arrangements, room bookings, catering and audio-visual materials as necessary.
- Supports the Director, Office of Community Partnerships and Global Health, by coordinating meetings (including minutes and agendas), arranging travel and related logistics, etc.
- Provides day-to-day administrative support to the Office of Community Partnerships and Global Health which includes handling incoming/outgoing mail and email correspondence, and arranges for couriers.
- Analyzes monthly ledgers ensuring all charges are posted, discrepancies followed up on, and all revenues are being collected, pending, or invoiced; provides assistance with budget preparation and quarterly reviews and travel claims.
- Attends various committee meetings. Schedules meetings, records, drafts and distributes minutes.
Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.

Required Qualifications
- Business/Office Administration Program, with three to five years’ related work experience (or an equivalent combination of training and experience).
- Excellent organizational and time management skills, attention to detail, customer-service skills, and a high level of communication and interpersonal skills.
- Ability to work cooperatively as a member of a team and interact with a variety of people along with the capacity to handle frequent interruptions with multiple priorities.
- Demonstrated ability to work in a confidential environment.
- Proficiency in MS Office (Word, Excel and Outlook),
- Ability to exercise initiative, prioritize and work independently with minimal supervision.
Assets
- Experience in a university/higher education, government, or hospital setting.
- Familiarity with SharePoint and OneDrive.
