ROLE SUMMARY

We have an exciting opening in Sydney for an enthusiastic People and Culture Coordinator to join our team. This role is responsible for coordinating Groupe-wide and agency-specific people programs and initiatives. This includes supporting on all aspects of the employee lifecycle such as onboarding, employee relations, off-boarding, immigration, engagement and culture. The People and Culture Coordinator also plays a role in the support on a number of identified projects for the wider Publicis Groupe.

KEY RESPONSIBILITIES

1st Level Contact

• Acts as a champion of People and Culture in the agency
• Is the 1st point of contact for all People and Culture related questions, queries and concerns from our teams
• Escalates any relevant issues to the People and Culture Advisor or People and Culture Business Partner

On-boarding and Off-boarding

• Supports Talent Acquisition on recruitment coordination as required including screening candidates, interviewing candidates, and liaising with Hiring Managers for junior roles
• Liaises with Talent Acquisition, Talent Operations, and the Experience Team to coordinate and ensure a smooth on-boarding experience for new starters
• Completes relevant junior and mid-level inductions and coordinates relevant sessions
• Proactively updates induction content when needed
• Conducts all junior and mid-level exit interviews
• Creates quarterly summary and analysis of exit interviews and new starter check-ins

Employment Relations

• Acts as point of contact for Managers on simple ER cases, escalating when necessary
• Keeps abreast of changes to employment legislation and shares updates with the wider team
• Assists with restructures including preparation of process and administration for redundancies
• Champion of the probation process ensuring all relevant paperwork is completed
• Assists with terminations activated within the probation period

Immigration

• Acts as point of contact for immigration queries for our teams
• Coordinates the immigration process by supporting the People and Culture Advisor
• Keeps up to date with immigration legislative changes and informs the team

Remuneration and Benefits

• Manages the parental leave process including requests from people for information, liaising with payroll, managing Keeping in Touch Days, and the return from the parental leave process
• Assists teams with questions on leave and benefits
• Proactively provides ideas on industry-leading benefits and opportunities to consider
• Coordinates relevant administration required for benefits such as Lion Leave
• Assists in the salary review process by completing relevant benchmarking, analysis of review results, etc.

Learning & Development

• Acts as the point of contact for Career Conversations process providing up-to-date statistics and analysis of results
• Liaises with the team regarding SPACE and agency-specific Learning & Development opportunities

Culture

• Assists in the developing and implementation of cultural events for the relevant agencies to help with retention and employee engagement
• Contributes to the culture of the People and Culture team

Administration, Reporting & Payroll

• Assists Talent Operations with relevant internal and external reports such as WGEA, CSR, salary surveys, etc.
• Assists the People and Culture Business Partner with engagement survey reporting and analysis
• Ensures all data is correct and processed for the monthly payroll
• Provides administrative support to the team such as generating employment contracts, salary increase letters, and making relevant changes and updates in the HRIS

Projects

• Provides support on their assigned Publicis Groupe projects
• Delivers on all necessary deadlines
• Is proactive on the projects by providing ideas and suggestions to the team

SKILLS AND EXPERIENCES

• Minimum 1 year experience in a People & Culture Administrator or Coordinator role
• A keen interest in working and growing your career in People & Culture
• Well-developed computer skills across Microsoft Office suite (especially Excel)
• Experience working with a HRIS or other software where you need to ensure accurate input of data
• Good written and verbal communication skills with the ability to handle highly confidential information and treat employee data with discretion
• A people-person with a natural desire to ensure people are engaged, supported and fulfilled at work
• A good understanding of Australian Immigration and Employment legislation is an advantage
