Job Description:

Amherst College invites applications for the Academic Department
Coordinator position. The Academic Department Coordinator is a
35-hour per week (academic year), 25-hour per week (summer)
position , starting at $24.57 – commensurate with experience. Given
Amherst’s distinction as one of the most diverse liberal arts
colleges in the country, the successful candidate will demonstrate
the ways in which they bring value to and will work towards
supporting a broadly diverse community.

The Academic Department Coordinator provides administrative support
and guidance to the English department. As a primary contact for
our diverse students, faculty, staff, vendors, and the public, the
position is a key resource in representing the department and often
is the first point of contact for emergency issues.
Responsibilities include overseeing and monitoring fulfillment of
requirements for majors; developing and managing academic
timetables; creating, administering, and preparing junior faculty
teaching evaluations for official college records; administering
department contests and facilitating monetary prize awards;
pursuing copyright permissions; tracking the billing for the
creation of course material; organizing thesis proposals and
evaluations and the logistical arrangements for formal thesis
defenses; event-planning for a number of small and large-scale
department events; and creating a welcoming, inclusive environment
for our diverse community. In addition, the position manages some
department web pages and much of the office equipment, maintains
some supplies for the department, and participates in college
committee work as opportunities arise.

Summary of Responsibilities

Course Support

• Create course readers from material provided by
  faculty
• Obtain copyright permissions for printed and electronic course
  materials
• Request payment and record costs associated with course
  materials
• Assist with course logistics

Assistant to the Standing Department Committees

• Maintain general department calendar of events and deadlines
  and meet regularly with individual committees to plan and execute
  yearly activities
• Support department committees by maintaining detailed records,
  and provide some assistance and materials for their
  projects

Assistant to the Director of Studies

• Maintain Director’s calendar and meet regularly to plan and
  execute yearly activities
• Meet with a diverse set of new majors and provide an
  introduction to the department
• Assign major advisors, manage advisor loads, track student
  progress
• Coordinate communication between majors, Director of Studies,
  and advisors

Support for the English Faculty

• Create, administer, and assemble teaching evaluations for all
  Junior Faculty
• Provide direct administrative support in copying, filing,
  scanning, faxing, placing orders, etc.
• As issues arise, liaise on behalf of faculty with facilities,
  special services, information technology, campus security, etc.,
  with an eye towards effective communication across a diverse set of
  stakeholders

Support for the English Major

• Maintain website curricular information and events calendar for
  majors
• Design announcements for communicating deadlines and events to
  a diverse group of majors
• Track student’s progress on completion of requirements and
  coordinate with the Registrar’s Office
• Oversee Department Prizes process – coordinate all details of
  submissions, committee evaluations, announcements to winners, and
  record-keeping
• Oversee Thesis Defenses process – coordinate all details of
  thesis submissions and committee defenses
• Provide administrative support for the Student Steering
  Committee
• Meet with new majors and provide an introduction to the
  department
• Assign major advisors, manage advisor loads,track student
  progress
• Coordinate communication between department and
  majors

Event Planning

• Plan, manage, and execute department events including the
  capstone study sessions and the all-day symposium, thesis study
  sessions, informational sessions, various faculty and visitor
  presentations, welcome and end-of-year parties

Office Management

• Train and assist student workers
• Organize and maintain files both in the electronic (Share
  Drive) and hard-copy to ensure responsible administrative records
  and institutional memory
• Maintain the department copier and serve as liaison with
  contractor

Qualifications

Required:

• High school diploma or equivalent
• 5 years of related experience
• Strong interpersonal, and verbal and written communication
  skills including the ability to exercise diplomacy and effectively
  communicate across a diverse community
• Demonstrated organizational and time management skills with the
  ability to multi-task
• Attention to detail and ability to function with
  accuracy
• Demonstrated commitment to effectively supporting a broadly
  diverse and intentionally inclusive community
• Ability to take initiative, and work independently and
  collaboratively
• Proficient in MS Office and able to learn new software
  programs

Preferred:

• Associate’s degree
