You will provide administrative support across the full range of HR duties. Provide hands on day-to-day administrative support to the HR team and all Employees to enable effective people management across all levels. Support daily HR activities and assist in coordinating HR policies, processes and relevant documents.
Working as part of a small People team, you will join HR Operations, Payroll & Reward and the Learning & Development team to play a key role in the day to day running of the HR Operations function.
You will work alongside a HR Advisor and Senior HR Advisor and have the full support of x2 HR Business Partners (one of which you will report into) but it is important that you are also comfortable working autonomously.
More specifically your role will include (but not limited to):
1. Provide efficient, accurate and timely administration for HR
2. Administer the new starter process, including recruitment, offer letters, contracts and references
3. Administer the absence management process, and advise managers and employees on processes and procedures
4. Administer the leavers process including exit interviews
5. Keep all org design documents up to date with starters, movers and leavers
6. Complete references for ex-employees
7. Update employee records and process any employee changes to terms and conditions, including associated administration and updating HRIS
8. Maintain the HRIS and the documents within it
9. Identify opportunities to improve processes including suggestions for automating, simplifying and standardising
10. Assist with HR project work as required
In order to be the ideal candidate for us, we are looking for a team player that has experience of working in a busy HR functions in an administration role, with knowledge of contract production and change letters effecting employee lifecycles. You will have experience of administering recruitment processes and procedures. You may not be HR qualified but we would love it if you wanted to work towards your level 3 CIPD, which we will fund.
You should be an excellent communicator and have the ability to give advice in a constructive and consulting way.
Given the nature of HR cases you may be presented with your natural style should be discreet, approachable, confident and empathetic as well as informative. Due to the size of our team, we have to work quickly and effectively, often juggling multiple tasks, so you would really thrive if working in a busy environment is how you like to work.
We would really love it if you had the ability to use your own initiative, take ownership of your work but recognise when to escalate issues whilst understanding the need to prioritise your workload.
