Parker Gallini LLP, an established business immigration law firm, has an opening for a full-time Billing Specialist in our office in Waltham, MA. The Billing Specialist position requires an organized team player with a positive, can-do attitude and an ability to work well with time deadlines. The Billing Specialist’s main responsibility is to work with the Firm Administrator in generating the firm’s monthly billing. The candidate will also be responsible for expense entries, processing client advance requests and other accounting related data entry. Must be detail-oriented and able to work independently. Essential Job Functions:

• Generate in TABS3 accurate monthly billing for attorney review and prepare invoices as directed. Submit invoices for payment following Firm Administrator review of final generated invoices.
• Research and respond to billing inquiries.
• Coordinate billing workflow for new case and client intake requests.
• Assist Firm Administrator in entering daily check and wire payments in TABS3.
• Assist Firm Administrator in submitting daily check deposits with bank.
• Manage entry of client advances and expenses to allow for prompt billing and collection.
• Draft and send out engagement letters as requested by attorneys.
• Save documents in appropriate locations within the firm’s document management system, ensuring that they are appropriately named according to firm naming conventions.

Knowledge, Skills, and Abilities:

• Knowledge of organization-level billing and accounts payable practices.
• Basic knowledge of TABS3 and Quickbooks accounting software and methods preferred.
• High-quality, meticulous work product.
• Ability to identify and analyze issues and problems and recommend and implement solutions.
• Ability to organize work, establish priorities and maintain good interpersonal relations and communications with lawyers and other staff.
• Cooperative and works well within a team.

Education and Experience:

• College degree preferred.
• At least 1 year of accounting or other relevant experience.
• Previous law firm billing experience preferred.

Pay: $50,000.00 – $65,000.00 per year
