FINANCE ASSISTANT

LCW seeks a passionate, detail-oriented, and highly motivated Finance Assistant to add value to LCW by managing day-to-day financial aspects of the organization, strategically planning for ongoing financial stability, and establishing internal systems that lead to efficiency, accuracy, and transparency in all financial processes. POSITION SUMMARY: WHAT YOU WILL DO

The Finance Assistant will be responsible for:

1. ACCOUNTS PAYABLE (A/P) MANAGEMENT

• Setup new vendors in Bill.com
• Receive, verify, enter, and process vendor bills
• Prioritize and manage payables
• Complete Payables Processing Form (PPF)
• Ensure timely and accurate delivery of 1099’s in January

2. ACCOUNTS RECEIVABLE (A/R) MANAGEMENT

• Create, verify, and send/submit client invoices
• Receive, verify, and record client payments
• Monitor and follow-up on late receivables
• Establish and maintain relationships with client A/P contacts
• Track client purchase orders and contract numbers
• Set-up and maintain LCW as a vendor in client portals

3. EMPLOYEE EXPENSE MANAGEMENT

• Review and process employee expense reports
• Generate [travel] expense invoices for clients

4. BANKING

• Manage credit card accounts
• Manage bank accounts
• Initiate PayPal payments
• Reconcile bank statements and/or bank feeds

5. PAYROLL & BENEFITS

• Track and process semi-monthly payroll
• Ensure accuracy of payroll data between Zenefits Payroll and LCW’s Payroll Tracker
• Monitor retirement plan, including registrations, updates, and contributions
• Monitor and manage LCW’s health insurance data (premiums, etc.)

6. STATE TAX & UNEMPLOYMENT ACCOUNT MANAGEMENT

• Register with and ensure compliance with tax and unemployment insurance entities in all states where LCW has employees
• Respond to inquiries/notifications from state taxing authorities

7. BUDGETING & FORECASTING

• Create, implement, and manage budgets
• Identify cost-saving measures in all areas of LCW operations
• Consult to internal staff about project budgeting strategies, pricing and job profitability measurements

8. FINANCIAL MANAGEMENT & REPORTING

• Report on job profitability (to consulting teams)
• Report on P&L, Balance Sheet to executive leadership
• Estimate and manage monthly and yearly cash flows (e.g., Rolling 12-Month Estimates)
• Work on quarterly and year-end tax reporting with externals (CPA, Auditors, Banks, Tax Accountant, etc.)
• Ensure accrual adjusting entries are made in a timely manner
• Perform ad-hoc financial analyses as requested by management or others
• Identify key data reporting that management will find insightful

9. SYSTEMS & PROCESSES

• Establish and implement internal systems that facilitate the accounting and finances of LCW, including expenses, receivables, payables, reporting, payroll, internal tracking, etc.
• Collaborate with the head of Operations and other employees to improve and standardize policies and procedures relating to accounting.

10. QUICKBOOKS & INTERNAL BUSINESS MANAGEMENT SOFTWARE

• Ensure accuracy of accounting data represented in LCW’s Business Management Software

Software/Interfaces used include: QuickBooks Online, Zenefits, Scoro, Bill.com, Ariba, PayPal

This position reports to the Managing Partner.

QUALIFICATIONS: Necessary knowledge, skills, and abilities

• A minimum of 2 years of experience in a financial role
• Advanced skills with QuickBooks or QuickBooks Online
• Advanced Microsoft Excel skills, including macros
• Familiarity with foreign exchange principles
• Problem-solving and analytical skills
• Ability to speak about Accounting and Finance with laypersons

Other Desirable Attributes

• A degree or certificate in accounting, finance, or other related area
• Experience living and/or working internationally.

• Skills communicating across different cultures and languages

BENEFITS: HOW WE WILL INVEST IN YOU

Total Compensation Package

NOTE: Base salaries are fixed and align with an explicit compensation review and benchmarking study LCW completed at the end of 2021, to ensure pay equity for each LCW role.

• Compensation: Base salary dependent on years of experience and in the range of $55,000 to $60,000.

Hiring Timeline

1. Submit the requested documents and information by September 23rd.

2. If all pre-requisites have been met and the application has made it to the hiring manager, a 30-minute phone interview will be scheduled.

3. If the candidate is selected to continue in the process, a two-hour interview will be scheduled.

4. Job offers will be made one week after all interviews have been completed.

Job Type: Full-time

Pay: $55,000.00 – $60,000.00 per year
