Team and role overview
Purpose
BII is looking to hire an Executive Assistant to support the Human Resources leadership team. Work will include complex diary and inbox management for the Chief People Officer as well as EA support to an additional 3 Directors and 1 Manager. EA duties will include diary management, expenses, travel and coordination of meeting documentation. The EA will be responsible for maintaining strong relationships with key stakeholders such as CFO office, CEO office, ExCo and Board members as well as the regional teams across BII. In addition to providing exemplary EA support, this EA will act as a role model to all other PA’s and EA’s within the Business Support Team.

Responsibilities
Responsibilities will include the following:

• Full Executive Assistant support required for the Chief People Officer, which comprises of extensive and proactive diary management, inbox management, travel, expenses and support with the HR team management.
• Fully understand the priorities of the Chief People Officer and be proactive in providing high level of business support.
• EA support to the HR leadership team’s 3 Directors and 1 manager comprising of diary management and administration support.
• A demonstrable attitude towards managing highly confidential and sensitive information with discretion and integrity. Confidentiality is imperative.
• Accurately process monthly expenses and relevant invoices.
• Represent the HR team with professionalism, a calm demeanour and poise.
• Work collaboratively with the HR leadership team to coordinate priorities, execution of approvals, manage meeting agendas and hosts as well as take notes during various meetings.
• Able to set up and maintain accurate e-filing system, proofread confidential papers, create first drafts, design presentation materials and accurately gather content/research to assist HR leadership team.
• Manage and coordinate all travel for the HR leadership team.
• Manage all internal and external meetings and calls in Microsoft Outlook to capture all time zones, prioritising, and re-arranging where necessary.
• Effectively onboard new members of the HR team.
• Work with the Head of Business Support: attend monthly meetings, collaborate on new systems and BII initiatives, offer solutions from a positive perspective and lead by example through programmes such as the BST Ambassadors.
• Other administrative duties as required, such as leading on internal events and sending critical all staff messages on behalf of the HR team.
• Build and maintain collaborative working relationships with the broader BST team and ExCo members.

Background, skills, aptitude
Essential:

• Advanced diary and inbox management skills.
• Excellent organisational skills and high attention to detail.
• Outstanding speed and accuracy in producing documents and emails to ensure tasks are delivered on time.
• Extensive experience supporting c suite level management team members.
• Experience managing complex travel and visa application processing for multiple geographies that may change at short notice.
• Exemplary judgement and discretion when highlighting priorities for Chief People Officer.
• Uses initiative to proactively handle tasks that ensures progress is maintained.
• Excellent communication skills and high level of spoken and written English.
• Think outside the box and willing to adapt to needs of the business.
• Able to work under pressure and understand the importance of prioritising work and able to seek assistance from colleagues when necessary.
• Confident, proactive, cheerful and resourceful team-player both for immediate team and wider BST.
• Sensitive to the cultural diversity within BII and its investees/ investment geographies.

Technical Skills

• Expert in Microsoft Outlook, TEAMS, Word, Excel & PowerPoint.
• Confident handling video conference technologies (Zoom/TEAMS/WebEx).
• Proven experience in managing travel booking processes (preferably within BII’s geographies).
• Proven experience submitting accurate expense/invoice claims and data (Concur experience desirable).
