Job Summary:JOB SUMMARY:
Under minimal supervision, provides technical and administrative support in the area of talent strategies, including recruitment, orientation, onboarding, learning and development, mentoring, career advancement, performance management. This position is also responsible for the coordination, administration, and maintenance of temporary work visas and training services for the University workforce. This position processes all resignations/terminations and compiling exit interview data/analysis. Conduct exit interviews as needed.

Major Duties and Responsibilities:
Recruitment (40%)

• Coordinate online employee recruitment and applicant tracking system for all staff, faculty and student positions;
• Provide frequent communication of University recruitment process and procedures to hiring authorities and applicants
• Work closely with University hiring authorities on all aspects of recruitment, including:
  • Ensure electronic recruiting system flows efficiently and accurately
  • Place advertisements for University openings in various publications and on websites
  • Coordinate criminal background and motor vehicle record checks on applicants
  • Finalize and complete search process
  • Facilitate training for online recruitment system
• Reconcile invoices and prepare payments for recruitment expenses
• Coordinate temporary staffing
• Monitor internal transfers, ensuring adherence to transfer policy
• Assist with designing and negotiating new and innovative ways of recruitment
• Trouble shoot technical issues related to online recruiting system with vendor
• Provide regular updates/reporting on open positions

Hiring and Orientation Process (30%)

• Ensure electronic hiring process proceeds efficiently
• Communicate hiring procedures to University hiring authorities
• Responsible for flow of all materials to hiring authorities and back to HR to complete search and hiring processes
• Coordinate the hiring process with HR staff and hiring authorities, including gathering data and appropriate documentation for entry into HCM system
• Coordinates and participates in the delivery of new employee orientation (includes faculty, staff and student employees) as assigned by supervisor

Training/Development/Visa Coordination (15%)

• Coordinate, schedule and track training and development opportunities for University personnel
• Responsible for advertising course offerings, scheduling participants, scheduling rooms, notifying and advising facilitators, tracking attendance and other administrative duties
• Respond to all inquiries about training and development services
• Identify department training needs as well as internal and external training options
• Coordinates the administration of temporary work visas in collaboration with sponsoring department, HR Director and external legal counsel

Clerical Support and Administrative Detail Function (10%)

• Keep current on operational details of HR department in order to assist University personnel or applicants in the absence of available staff
• Maintain accurate recruitment files
• Assist with routine communication of University policy and procedures related to HR
• Consult with HRIS staff regarding information related to recruitment for HR website
• Provide front-desk backup coverage as needed
• Handle unemployment claims

Other: (5%)

• May conduct exit interviews as needed
• Assist with other special projects as assigned

MINIMUM REQUIREMENTS:

Education:

Bachelor’s degree in HR, Business Administration or related field.

Experience:

• Minimum of two years exempt level experience in related environment.
• Two to four years talent strategy administration (recruitment, employment, learning and development) and/or Human Resources experience.
• Knowledge of laws and regulations as they apply to talent strategy, specifically recruitment and employment.
  
• Prior experience in Human Capital Management system, Workday preferred.
• Advanced proficiency in Excel, Power Point and Microsoft Office programs as well as web-based applications.

WORKING CONDITIONS:

Working conditions are normal for an office environment. Work may require occasional weekend and/or evening work. Some local, regional, and/or national travel is required.

Pay Rate:$20.10 to 23.00 per hour commensurate with qualifications
