Saunders Architecture is an award-winning architecture firm based in Norway, and is owned by Newfoundlander and Labradorian Todd Saunders. The Norway-based firm is seeking an Executive Assistant to join their team. The ideal candidate is located in Newfoundland and will directly support owner Todd Saunders and team members located in North America and Europe.

Our internationally acclaimed architecture firm has completed projects in over ten countries, and is currently working on projects in Norway, Canada, Mexico, and the United States. Our current projects, located in beautiful areas of the world, include private homes, a museum, a library, and several tourism projects such as a winery and a boutique.
Our Executive Assistant will be an organizer, a producer, a maintainer, and a promoter. A team player with a high level of professionalism.
They work closely both with the team at Saunders Architecture, existing clients, and potential clients. As the first point of contact for Saunders Architecture, the Executive Assistant will provide exemplary service communicating with, maintaining, and nurturing client relationships to promote the company. They will coordinate administrative activities through great organizational skills with staff across Europe and North America, and will be an integral part of the team to drive organizational efficiency. They will produce work and meet deadlines required by the team. Some key areas of contribution will include project management, scheduling, administration, and communication. They will be a person with great attention to detail while having the ability to see the big picture, an embracer of innovation and digital tools, and have an approachable and caring demeanor.
What you will be doing:
Working remotely as part of a global team of experts to grow a sustainable, innovative architecture firm
Nurture relationships with potential and current clients, and other stakeholders, as the main point of contact for the studio
Respond to inquiries via email, telephone, and virtual meetings
Manage the calendars for Todd and the office, and set up both internal and external meetings
Monitoring and recording project time tracking, pension, holidays, and sick leave
Managing the relationships and coordinating support with IT and accounting consultants
Some coordination with accountant for invoicing, expenses, payroll, and budgeting
Assemble and present work in progress reports including project time, expenses, revenue reports to Todd bi-weekly
Other duties and responsibilities as required
What you will bring:
5+ years’ experience in executive administration
Education in administration considered an asset, but not required
Experience and comfort working in a fast paced, client-focused environment
Ability to manage multiple projects across a variety of stakeholders
Enjoyment and appreciation of creativity and innovation
Attention to detail while being able to reflect on the big picture to prioritize and organize projects
Strong computer skills with programs such as Office 365, virtual meeting platforms, and the ability to quickly learn computer-based software and systems
Excellent interpersonal skills including verbal and written communication
Confidence in bring proactive, and looking ahead to anticipate next steps
A learning mindset, and the ability to accept in and participate in feedback, coaching and personal development
Enjoyment in problem solving, critical thinking and strategic decision-making
A positive, optimistic attitude and the desire to help people achieve the best possible outcomes
The Perks:
The position of Executive Assistant with Saunders Architecture has a competitive compensation and benefits package, with a salary of $65,000+. The salary for the Executive Assistant will be determined based on combination of experience of the successful candidate, which will be discussed during the recruitment process.
This is a full-time position that will work remotely as part of a global team in North America and Europe. Options of working Monday to Thursday or Monday to Friday, as agreed upon between the employer and the employee. As with positions of this nature supporting global business operations, flexible work hours may be required.
