The School of Physics is one of the leading Physics schools in Australia. It offers a world class undergraduate physics degree, as well as a postgraduate PhD research program for over 50 students. 33 academic staff conduct theoretical and experimental research in quantum physics, astrophysics, fundamental physics; and condensed matter physics. The Project Officer is responsible for providing effective and efficient project management support and office management services to the School of Physics. They also provide executive support to the Head of School and administrative support to the Postgraduate Directors.

About the role

• $90K – $96K plus 17% Superannuation and annual leave loading
• Continuing
• Full-time (35 hours per week)

The role of Project Officer reports to the School Manager and supports the Head of School of Physics and has no direct reports.

Specific responsibilities for this role include:

• Drive the delivery of major School based projects, initiatives and other ad hoc programs on behalf of the Head of School to achieve operational and strategic goals overseeing the project lifecycle.
• Establish and manage project plans on behalf of the Head of School; plan and manage major projects within timeline and budget; identify and coordinate project resources; and liaise with internal and external stakeholders to establish and deliver on project requirements and project priorities.
• Analyse and report on the effectiveness of projects through development and delivery of progress reports and evaluations ensuring that projects are achieved on time, on budget, to quality standards and within agreed scope.
• Work within a defined project delivery lifecycle to deliver and prioritise projects through regular consultation with the Head of School and School Manager.
• Actively identify, recommend and implement relevant projects and business improvement activities to streamline processes and facilitate administrative efficiency in relation to procedures and systems.
• Coordinate and manage School events such as academic retreat, conferences, seminars and colloquia, student research symposiums, and student awards including creating event registration webpage, organising student prize payments, and external facilitators as required.
• Coordinate the efficient operation of School Committee meetings including the preparation of agendas and meeting papers, minute taking, distribution and filing of documents in liaison with relevant Committee Chair.
• Oversee effective office operations and provide superior executive support to the Head of School including confidential reception, diary/calendar and email management, coordination of meetings and management of all travel and accommodation arrangements as required.
• Integrate information from various sources to draft documents and correspondence for the Head of School including letters, emails, invitations, reports, presentations and briefing notes.
• Actively ensure the Head of School is appropriately prepared for all meetings and completes any assigned follow-up items, providing assistance as appropriate and/or represent the School at meetings and report on outcomes to relevant stakeholders.
• Interpret, apply and advise on UNSW and faculty policies, guidelines and processes to all activities as appropriate.
• Update and maintain the School website and staff intranet.
• Provide high-level administrative support to Postgraduate Directors including organising annual PhD student review meetings.
• Provide any other support and activities as determined and directed by the Head of School.
• Align with and actively demonstrate the UNSW Values in Action: Our Behaviours and the UNSW Code of Conduct.
• Cooperate with all health and safety policies and procedures of the university and take all reasonable care to ensure that your actions or omissions do not impact on the health and safety of yourself or others.

To be successful in this role you will have:

• Relevant degree with subsequent relevant experience or equivalent competence gained through another combination of education, training and experience.
• Demonstrated project management experience delivering projects within agreed timeframes and budget.
• Excellent interpersonal and written and verbal communication skills including ability to communicate with and influence diverse internal and external stakeholders.
• Exceptional time management, office management and organisational skills, ability to work well under pressure and manage multiple tasks with competing deadlines and delegate as required (if relevant).
• Demonstrated initiative, sound analytical and problem-solving skills and proven experience in business improvement activities.
• Extensive experience working on confidential and sensitive matters and demonstrated ability to exercise discretion and tact as required.
• Strong computer skills in particular Microsoft Outlook, Word, Excel and PowerPoint, the use of internet, relevant data bases and web maintenance software.
• An understanding of and commitment to UNSW’s aims, objectives and values in action, together with relevant policies and guidelines.
• Knowledge of health and safety responsibilities and commitment to attending relevant health and safety training.
