WHY THIS POSITION:
We are looking for an experienced HR Coordinator/Assistant to join our team based in London. You will be joining the People Communications, D&I and Social Commitment global teams, supporting 2 senior leaders to provide broad administrative support, but also help supercharge the efficiency of the teams. This role plays an integral part in community building, as well as stakeholder management to ensure the functions are connected and working closely with all regions and divisions of the organization.
This person will manage the calendar and team optimisation as well as support function priorities with the two leaders working together to balance workload. This may include-coordination of extended community meetings, agendas and action items, support with key events. The ideal candidate will be integral member of the teams and will play key role in helping to drive efficiency and effectiveness.
Core duties common to both roles
Strategic calendar management: over time-zones (1 to 1s, discussions with leaders, Town hall, external providers…)
Working closely with LTs and OPLT assistants
Travel arrangements & expenses
Invoicing follow-up and monitoring of budget
Liaising with Legal on new vendor agreements
Specific -People communications and D&I
Support with coordination of Comms leads community: coordinating meetings, agenda topics and recap/action points
Support with coordination of D&I community: ad hoc research and tasks
Ad hoc help with drafting or revising of non-priority communication messages
Help with wider team for ad hoc tasks: proofreading, translations, decks…
Support with T&L events: lunches, La Place, Town hall
Specific – Social Commitment
Support with coordination & animation of SC community: setting calls and arranging guest speakers, agenda topics
Involvement with Pro Bono projects (organisation of volunteering opportunities)
Support ACGP on the Company donations with payment processes and NDA support with different countries.

Proficiency with collaboration tools (for example, O365 Teams), Excel, PowerPoint; Acrobat Pro and SharePoint useful
Good communication/interpersonal skills, as point of contact for internal communities & external partners
