The College’s administration team supports our students and tutors with the operational information required to keep the services we offer at a high level.
We are looking to recruit a self-motivated, and enthusiastic Academic Services Administrator to lead the Student Administration function. This role plays a pivotal part in providing administrative support to students and our tutors across all courses.
The role of an Academic Services Administrator is wide ranging with its primary purpose to provide administrative assistance for student teaching along with supporting a wide range of activities such as induction and registration to graduation.
We are fortunate to be based in the Royal Botanic Gardens, Kew in West London, a vibrant garden and one of the world’s leading scientific institutions. However, we do not have an office there and this is a work from home role. Full support will be given to the successful candidate including the necessary office equipment.
The post replaces an existing administration position which has become open on the retirement of a current member of staff. This is a re-structured post that allows someone to work in a flexible way from home. Full training support will be given.
Key duties
1. Interview and enrolment of new students
Managing enquiries and the interview process in liaison with course leaders.
Liaison with potential students, answering initial enquiries particularly on availability of places and costs.
Recording and monitoring of student enrolment on a weekly basis and completion of weekly reports.
2. Servicing current students
Dealing with day-to-day requirements of students as a central contact.
Organising the distribution of information in advance of course start dates.
Assisting with students at the start of each of our 3 main courses and at Graduation in-person at Kew Gardens.
3. Liaison with tutors
Liaising with tutors to ensure they have up to date timetables and are aware of requirements for teaching at Kew Gardens or our other locations.
4. Facilities
Booking and management of our main facility at Kew Gardens in conjunction with event staff and including future timetable bookings.
5. Other enquiries
These might include enquiries about work opportunities and information on our short course programme such as availability and costs.
6. Financial recording
Preparing and issuing invoices for each student and to partner organisations as appropriate.
Monitoring and keeping accurate financial data on a weekly basis in conjunction with the Managing Director.
7. General administration
Managing filing systems and course specific records.
Liaison with the Technical Support Administrator, Course Leaders and Directors.
Taking part in review meetings with Directors and contributing to management discussions on the organisation’s policies and strategic development.
Development and implementation of new administrative systems as appropriate.
Managing time to ensure that holiday coverage is maintained effectively around academic terms and holiday periods.

Successful candidates will be able to demonstrate several competencies including attention to detail, excellent organisational skills and the ability to prioritise a variety of work activities in a busy environment.
The role is home-based and so self-motivation and an ability to take responsibility and identify business impacting incidents are essential. Training and support are available, but we expect the successful candidates to engage positively with the role and have a passion for quality and execution on time.
Ideally you will already have some relevant experience and possess the communication, drive and customer care skills to deliver a high-quality service to a range of stakeholders at all levels. Good computer skills with experience working with Excel, Word and appropriate email software, together with a confident and supportive telephone manner are essential
