The Receptionist is a member of the Client Services team reporting to the Team Leader, Client Services.

Specific responsibilities include:

• Managing visitor process: including communication to hosts and visitor and auditing screening submissions
• Greeting clients and guests arriving at the firm in a friendly and courteous manner; informing parties involved of arrival; following instructions from internal clients on any specifications with respect to guest (i.e. offer beverage);
• Maintaining constant awareness of surroundings including Reception and meeting rooms to monitor firm security; following up with unknown guests; contacting the appropriate staff in emergency situations or whenever assistance is needed by either staff or firm guests;
• Attending annual training and responds to all building alarms as a Floor Warden; Attending annual Emergency Training
• Familiarizing oneself with frequent callers and visitors (i.e. learning their names and/or knowing which organization they represent);
• Responding to general inquiries from the public and forwarding calls to the appropriate personnel or department;
• Overseeing daily meeting room requests through Rendezvous Meeting Room system; managing and facilitating firm Zoom meeting requests; managing and training firm members on Rendezvous Meeting Room system and Zoom, as needed;
• Assisting with Client & Office Services; providing support & assistance to others during absences as needed and as business volumes dictate;
• Performing a daily audit of the facilities on the 34th floor; communicating deficiencies to necessary parties (i.e. lighting, HVAC, blinds, etc.); coordinating facility-related repairs/service requests through 310-SERV as needed;
• Assisting in coding, submitting and tracking of Client & Office Services invoices;
• Providing administrative support for other departments; providing assistance to others during absences as needed;
• Updating Client Service Dashboard with necessary data; and
• Other duties as assigned.

The ideal candidate possesses:

• A high school diploma or equivalency.
• A designation is not required.
• 3-5 years of relevant experience within a professional services environment.
• Intermediate proficiency in MS Office applications including Word, Adobe, Outlook, Excel and PowerPoint.
• Proficiency in role-specific software, including Rendezvous Meeting Room software Zoom & Teams.
• Solid written & verbal communication skills, a self-starter with a strong work ethic, and a team player with excellent client service skills.
• Ability to work independently as well as part of a team.
• Excellent interpersonal skills are essential, including working effectively with Leadership and Staff at all levels.
• Demonstrates high degree of integrity, flexibility, diplomacy, discretion and confidentiality.
