Position Summary

Under the general direction and supervision of Chief Finance Officer, this position performs routine AP and Payroll duties within the Finance Department.

Position Requirements

Education: Associate degree in Accounting and/or Business Administration plus one year of relevant experience; educational equivalent will be considered with three or more years of relevant work experience in an accounting environment

Experience: Three years prior experience in an accounting environment; prior Quickbooks experience a plus; prior experience with cloud-based HR/Payroll software a plus

Essential Functions, Roles, and Responsibilities

Payroll Processing:

• Integral part of bi-weekly payroll processing in Rippling software
• Ensure timely and accurate processing of payroll transactions including wages and salaries, benefits, garnishments, taxes, and other deductions
• Collect and verify accuracy of employee electronic timecards on a bi-weekly basis including vacation/sick/holiday, overtime, and verifying supervisor approval
• Assist with verification of timekeeping within Rippling electronic time and attendance software
• Utilize Excel to run labor hours reports and reconciliations
• Ensure deductions and liabilities are accurately withheld including state and federal taxes, co-pays, garnishments, and all other deductions
• Process payments for all payroll liabilities as required
• Prepare checks for distribution or submit payments online
• Ensure compliance with federal, state, and local payroll, wage and hour laws, and best practices
• Track and verify vacation and sick hours for all employees
• File supporting documentation in an organized and professional manner
• Assist with audits by providing records and documentation to auditors as requested
• Other duties as assigned

Accounts Payable:

• Collect, organize, assign account codes, and obtain appropriate approvals for all vendor bills
• Process employee reimbursement requests and travel reports in a timely manner
• Scan and process all vendor bills through Bill.com
• Process manual paper checks when required
• Enter and print checks for all patient refunds
• Maintain well-organized vendor files
• Process all accounts payable accurately, timely and within terms
• Investigate any late payments or vendor inquiries
• Request W-9 and insurance documentation for contractors, subcontractors, and vendors as required
• Assist with year-end processing of 1099 forms
• Other duties as assigned

Credit Cards:

• Accumulate all credit card receipts from staff
• Ensure accurate account coding and appropriate approvals
• Investigate fraudulent or credit card errors
• Download and/or enter all credit card transactions into accounting software and assign accurate account codes to each transaction
• Process month-end credit card reconciliations in a timely manner and attach all receipts to statements
• File all backup documentation and credit card statements in an organized manner
• Other duties as assigned

Banking:

• Verify deposit information received from Billing Office; making sure deposit and EPIC/OCHIN information are in balance
• Record deposits into QuickBooks once information is verified
• Enter payments against invoices when received
• Verify all Pharmacy deposit information; making sure deposit and pharmacy information are in balance
• Verify all QuickBooks bank feeds/downloads are coded accurately
• Record deposit information for all electronic and ACH deposits made into accounts
• Other duties as assigned

Knowledge, Skills and Abilities

• Ability to perform duties with a high degree of professionalism, integrity, honesty, and confidentiality
• Ability to operate a personal computer, printer, copier, fax, and other common office machines
• Extensive knowledge of payroll functions including preparation, balancing, internal controls, and payroll taxes
• Extensive knowledge of A/P functions, including approvals, coding, and payment processing
• Exceptional organizational skills and attention to detail
• Ability to enter transactions efficiently and accurately

• Excellent written and verbal communication skills
• Ability to follow verbal and written instructions

• Accounting skills with understanding of debits and credits
• Ability to operate Quickbooks accounting software appropriately

Physical Demands/Working Conditions:

General office/clinic conditions are pleasant; good, clean working conditions where accident and hazards are negligible; requires short periods of moderate lifting, pushing, or pulling objects up to thirty pounds. Clear diction and acute hearing are necessary for effective communication with the staff and public.

Position is based in the Butte; however, position responsibilities may require travel to Dillon, Anaconda and Sheridan on rare occasions. Use of personal vehicle may be required for travel; therefore, a valid driver’s license, proof of auto insurance and registration is required.
