Customer Service Representative: Major Clients

Novalis English books

Based in Toronto office of Bayard Canada, this position is directly reporting to Publishing Director, Novalis English Periodicals, Books and Parish Resources. It involves three key areas: serving all Novalis customers including bookstores, parishes, and schools; inventory management and dealing with orders for books; and regular creating of sales reports and doing sales analysis.

Responsibilities

Customer Service – providing support for all Novalis customers and products in Canada

Manages orders from bookstores, schools, and institutional customers, and digital distributors (Amazon and Chapters/Indigo) for Novalis published books, all resources, and distributed books

Handle any customer service queries to satisfactory resolution such as customer claims and complaints regarding wrong bills, shipments, etc. and manage the list of claims

Do outbound calling to obtain sales for specific products as required

Create new accounts as needed

Send forms when requested, such as credit application, return policy, distribution list, desk copy procedures, up-to-date accounts

Run back-order reports for customers when requested

Handle returns from customers, verify return privileges for extension, etc.

Liaise, as required, with Montreal warehouse and staff as related to customer service queries, deliveries, etc.

Coordinate shipments with the Montreal warehouse, Eurofret and DEB publishers

Inventory Responsibilities – ensuring proper inventory of distributed titles

In conjunction with Sales Manager, track and manage Novalis inventory levels

Keep current files of purchases orders, including outstanding orders

Track outstanding purchase orders

Create sales reports and sales analysis (monthly and annually)

Qualifications

College or university diploma or any other combination that meets the requirements of the position

Minimum of 3 years of experience in sales, customer service or related fields

Master the Office suite, and related software

Strong attention to detail

Have excellent communication skills

Be creative and passionate about solving problems

Be able to manage several projects simultaneously

Being able to work under pressure

Be autonomous and responsible
