Overview of the role
Researchbods are a fast-growing digital insights agency and to support this growth, we are looking for an experienced and enthusiastic administrator to help support our People function.
This is a newly created role and we are looking for someone who is enthusiastic about helping us deliver amazing employee experiences and who is keen to build on their previous experience, ideally gained in a HR or Recruitment environment. This also provides a great opportunity to make the role your own.
Whilst the majority of the role will be supporting the People function, working on a variety of tasks across the employee lifecycle, you will also have responsibility for some general office duties too so will be happy to multi-task and wear different hats as needed. There will also be the chance to get involved in various project work and opportunities to learn and develop too.
You will have great communication skills with a customer service focus, be a skilled organiser with an eye for detail and have a good appreciation of the confidentiality and sensitivity of working in such a role.
Ideally you will be used to using an internal HR system and have a good working knowledge of Word and Excel to produce letters and reports as required. A good understanding of GDPR would also be helpful.
We work flexibly and always look to support working arrangements that provide a great work / life balance. We are currently working in a hybrid way with a mixture of home and office working. As an element of this role involves office administration and general office duties, you would need to be happy to work in our Leeds city centre office for part of the week.
We are happy to discuss working patterns with the successful candidate and will consider applicants looking for part-time hours, we anticipate that this role will be a minimum of 25 hours a week.
Your responsibilities
Assisting with recruitment, including helping develop job descriptions, preparing job adverts, managing the ATS system on our internal HR system
Carrying out necessary employment checks on new recruits, including references, right to work checks, credit and DBS checks
Collating all necessary information and set up on the internal HR system
Issue onboarding information and documents
Assist with onboarding and induction activities
Updating and maintaining employee records on our internal HR system including starters, leavers, contracts, sickness absence, annual leave and other special leave ensuring compliance with GDPR and document retention schedules
Provide support to colleagues on using and updating the HR system
Help prepare payroll information and uploading payslips to HR system
Updating and assisting with managing administration and content on our internal benefits platform.
Run and prepare reports using our HR system and Excel
Assist with managing company benefits and associated admin
Oversee annual compliance training eg fire safety and data protection ensure completed on time and training records updated
Book training courses and associated admin, updating training records on internal HR system.
Assist HR Manager with reviewing and updating Employee Handbook and associated policies as required.
Support with Health and Safety annual audits and policy reviews, reviewing fire and health & safety procedures, implementing new procedures when required
Assist with managing appointed fire wardens and first aiders, ensuring training is up to date and refreshed, regular communications as needed and liaise with buildings facilities manager and contractors as required to support fire drills and annual services / checks
General adhoc HR admin as required such as issuing salary review letters, change to terms and conditions letters etc
Point of contact for travel and accommodation bookings
Order and maintain levels of office supplies such as stationery, consumables and coffee machine
Help manage service suppliers and contractors such as cleaners
Assist with office phone and taking messages as required
Support with adhoc office admin such as away days and social events
Your skills, attributes and experience
Experience in an administration role, ideally gained within a HR, Recruitment environment or similar.
Enthusiastic about contributing to making great employee experiences
Excellent Written and Verbal Communications skills
Excellent IT skills including Microsoft Office (Word, Powerpoint and Excel with a strong numeric ability and experience working with spreadsheets and databases)
Excellent customer service and interpersonal skills
Experience of using an in-house HR system or database
Ability to work on your own initiative and solve problems
Pro-active approach, willing to offer ideas
Attention to detail and high level of accuracy
Experience of handling sensitive data confidentially
Desirable but non-essential:
CIPD qualification
Understanding of basic employment law and statutory legislation
Previous experience in fast growing agency environment
Awareness of basic office management tasks and responsibilities
Awareness of employee health and safety responsibilities
Understanding of GDPR in relation to HR function
