The role:
As we begin to see the light at the end of the COVID-19 tunnel and possibly the end of the pandemic in sight, it is important that we adapt and evolve as a network of agencies. Over the past 5 years, Havas has always had a Talent Acquisition function. Historically it has been split across two halves of the agency group, one in Media and the other Creative. In 2021 we are reimagining the way we operate and attract talent. Our new model will service the entire Havas Village as a collaborative UK group function.
With this in mind, we are looking to bring in a process driven individual to support the Talent Acquisition team. This person will be responsible for the operations side of the talent and hiring journey. It’s a key role that would suit somebody with a project management background or someone who is used to working with Applicant Tracking Systems (ATS).
In 2019 we launched a new HR platform globally called Work Day, which Havas rebranded as Talent Space. This platform has a Recruitment ATS module which we now work within. The TA Coordinator will be responsible for managing the admin for this platform on a daily basis.
Tasks will include:
- Data entry & collation of data, including internal & external insight
- Candidate journeys and hiring process
- Delivering a smooth and timely recruitment experience for all candidates
- Database management
- Interview setup, diary management & liaising with leadership teams
- CV filing
- Job requisition creation
- Offer management
- External Recruiter management
- Collaboration with the wider Talent & People Team
- Running reports in our ATS to update the Talent Team with candidate status across all live roles
- Ownership of entry level projects, collaborating with all agencies across the Village
It is vital that the successful candidate has some experience work working with ATS platforms. Having worked with a platform like Bullhorn or Greenhouse would be an advantage.
Going forward, we want Havas to be seen as best in class when it comes to our hiring processes. We would expect this TA Coordinator to own the candidate journey at Havas. At every touchpoint of the hiring process there is an opportunity for the Coordinator to have an impact. All candidates should have a similar experience, with a slick process, punctual communications and, whether or not they are successful, they should feel the interview experience was positive and consistent. It will be the Coordinators responsibility to help shape and implement a process that can deliver all of the above in 2021 and beyond.
The TA Coordinator will also own external communications in regards to jobs. We want this person to post on job boards with engaging content and job descriptions. We also expect this person to run Social Channels like LinkedIn and Instagram to engage with the best possible talent in the market.
We expect this Coordinator to have the confidence to manage both internal stakeholders, their PA’s/EA’s and external suppliers (Recruiters). It would be a bonus if this person had spent some time as a Recruiter in their career already. As it would allow you to have a certain level of empathy to the process and how Recruitment works in general.
However, what this is not, is a Recruitment role. We expect this hire to have a massive impact from a process and admin point of view. Having a Coordinator in the team allows the Talent Acquisition specialists the time to focus on sourcing first class talent for Havas. This role is integral to a smooth operating process and consistency.
We live in a world where Microsoft Teams calls, Zoom and Google Hangouts have become the norm. This makes engaging with Talent all the more tricky but equally as important if not more so than before. We need this Coordinator to keep close to candidates as part of their process with Havas, the Coordinator should feel confident enough to manage a relationship with a host of candidates at all levels. This will include regular check ins and updates as well as delivering consistent comms on email and via our ATS.
Diary management is another key element to this role. We need someone with an intuitive nature, as things can change drastically at the last moment and you will be expected to solve problems, fast. So having the ability to think on your feet whilst also taking other people’s opinions and needs on board, is vital.
The role will sit as part of the People & Talent department at Havas Group UK. The team consists of a mix of HR generalists, L&D, systems specialists, Talent Acquisition and DE&I experts.
The TA Coordinator will report into the Head of Talent Acquisition and will support the wider TA team on a day to day basis.
Skills Required
Broadly speaking, any candidate must at a minimum, be able to demonstrate the following qualities;
- Outstanding data entry skills (Excel, GoogleDocs and ATS systems)
- Financial management: a working knowledge of how an agency makes money
- Strong communication skills: the ability to correspond with clients in a clear and concise manner, and to keep a cool head with them when things get tough
- A natural problem solver: someone who isn’t afraid to take on a challenging task and see their way through to a successful outcome
- Ability to think on their feet and manage multiple projects
- Can build successful working relationships with the wider team
- An obsessive attention to detail
- Some experience in a professional environment (ideally an agency)
