Job Summary:

The VP Finance directs and oversees all financial activities of the business, directs the preparation of financial reports and related analysis, creates forecasts and manages the personnel and processes utilized in the accounting transactions and reports. Position is responsible for all financial systems and platforms and risk management as it relates property, casualty and liability insurance. Position also assists to evaluate, implement and manage employee benefits and IT systems administration and infrastructure. Serves as the financial and risk management voice of the Company.

Supervisory Responsibilities:

• Oversee Accounting department of approximately 15 FTEs, including all related accounting functions (AR, AP, Payroll, staff accountants, analysts) and systems
• Work with other department heads and VP’s to monitor department financial performance, develop budgets, provide ad hoc reports and analysis, and review/improve processes and procedures that impact financial results

Functional Duties/Responsibilities:

Reporting

• Direct the preparation of all financial statements, including income statements, balance sheets, cash flow statements, shareholder reports
• Present monthly and quarterly P&L, Balance Sheet, and Cash Flow reports including actual vs. budget, actual vs. forecast and actual vs. prior year
• Report monthly operating metrics vs budget; i.e. headcount, expense ratios, operating ratios, etc
• Write monthly MD&A on company financial and operational performance
• Prepare and present quarterly P&L, BS, and CF at Board meetings
• Prepare and present financial information to Bank per credit agreement requirements
• Oversee the preparation and presentation of annual financial statements
• Develop information, responses, and updates for Audit Committee meetings
• Manage and oversee all tax reporting, compliance and planning through outside tax preparers

Budgeting and Planning

• Lead annual Budget process
• Develop annual financial and operational budget that consists of multi-location budgets as well as a consolidated budget
• Develop budgeted operating metrics
• Modify and update budget as necessary during the year
• Report against financial and operating budgets
• Provide insight and recommendations to both short-term and long-term financial performance
• Develop and manage fixed asset budgeting and planning process and information

Financial Analysis:

• Analyze business operations from a financial perspective to identify areas in need of reorganization, downsizing, or growth
• Analyze monthly financial results and provide commentary and recommendations
• Manage financial planning and analysis resources to provide value added information to operations and sales
• Supervise creation of reports, including daily sales/operations report, customer profitability reports, and ad hoc financial and operations reports
• Develop a rolling 12 month financial model of the business to provide financial insight into the organization’s plans, expectations, trends and to highlight financial opportunities and/or threats
• Provide financial support and models for acquisition planning and execution

Department Staff Management:

• Recruit, interview, hire and make course corrections in staff as required
• Implement policies and procedures for a highly efficient staff as appropriate
• Mentor and train staff to gain efficiencies and build talent
• Supervise the accounting department to ensure the proper functioning of all systems, databases and financial software
• Maintain appropriate legal compliance for all employment matters

Accounting and Department Operations:

• Review and ensure application of appropriate internal controls and financial procedures.
• Oversee the month-end close process and achieve best in class close timing and accuracy
• Monitor and manage important general ledger P&L and Balance Sheet accounts to identify areas of concern and/or risk
• Manage financial and accounting systems and procedures and achieve incremental improvements in efficiency and accuracy
• Remain current on audit and internal control best practices as well as state, federal and local laws regarding company operations

Tax and Audit:

• Manage annual audit for successful execution and timely publication of the annual financial audit
• Manage outside Tax Consultants to oversee the preparation and timely filing of all local, state and federal tax returns and tax distributions to shareholders
• Make recommendations to minimize tax liability
• Serve as main point of contact for outside auditors

Cash, Treasury Management, Liquidity and Working Capital:

• Develop daily cash and liquidity reporting process
• Manage revolver ensuring cash movement is efficient and interest costs are minimized
• Develop and manage a 13 week cash flow forecast
• Oversee treasury management process including cash processing and daily banking activities
• Manage and improve Working Capital as it relates to accounts receivable, accounts payable and the working capital revolver
• Implement appropriate internal controls and processing of cash disbursements, including AP batches, ACHs, and wires
• Leverage current technologies and systems to improve efficiencies in cash receipts, cash application, and cash disbursements
• Execute working capital set up and integration for acquisitions
• Develop and achieve DSO metrics
• Develop and achieve DPO metrics

Banking:

• Ensure compliance with all Bank reporting requirements; collateral, liquidity, covenants, audits, etc
• Develop detailed knowledge of the Bank credit facility and agreement
• Develop 12 month forecast model to project liquidity and covenant compliance
• Develop and maintain banking relationships for information flow, questions, and compliance reporting

Information Technology:

• Oversee and manage third party IT contractor for system administrator/help desk functions and risk management
• Monitor and make recommendations to improve internal data exchange between systems.
• Develop and oversee appropriate disaster recovery (DR) strategy for IT systems and data
• Evaluate, recommend and implement software, tools and processes to streamline financial reporting, budgeting, analysis and transaction processing

Risk Management and Insurance:

• Oversee insurance programs; property and casualty, employee health and welfare, D&O, fiduciary.
• Mange annual RFP and program review process. Make recommendations for program enhancements and cost savings.
• Interface with operations to provide financial oversight for claims administration and losses.

Required Skills/Abilities:

Technical

• Excellent accounting knowledge regarding GAAP and internal controls
• Excellent accounting system and implementation knowledge
• Ability to understand, implement, and drive efficiencies relative to data feeds into and out of the accounting platform.
• Ability to implement and manage bolt on software applications; i.e. payroll, fixed assets, sales tax, etc.
• Excel financial modeling skills
• Ability to manipulate and analyze data through pivot tables
• Ability to write clear and informative monthly and quarterly MD&A’s
• Ability to develop presentation slides for Board, Bank, and internal financial presentations

Interpersonal/communication

Education and Experience:

Degree in Accounting required

Certified Public Accountant designation preferred

Eight to ten years of experience building and leading an accounting department required

Experience in multi-site industrial service industry preferred, but not required

Experience running an accounting/finance department in a business with 300+ employees
