Key Job Duties:
Provide support to Project Managers in planning, coordinating, scheduling, and assisting with project controls.
Manage changes to project scope, timeline and budget.
Work effectively and competently with people at all levels in the organization.
Perform general administrative and recordkeeping functions including the review and distribution of documentation; preparation of correspondence and meeting minutes, tracking of project milestones, maintenance of files, logs, drawings and specifications.
Support the (sub) contract management process: tender and award work or material supply; review and process invoices and progress claims, and assistance with the review of documents and inquiries.
Assist with preparing progress invoicing and progress status reports.
Ensure that all technical aspects of the work conform to all applicable codes and standards.
Facilitate the tracking of project milestones and financial deadlines; assistance with the creation of the project schedule; inputs and updates schedule throughout the project and reviews with Project Manager.
Coordinate the request for information (RFI) process, ensures RFIs are distributed to affected trades and maintains RFI logs and binders.
Prepare purchase requisitions for approval and assists with procurement of materials and equipment.
Monitor daily, weekly and monthly labour, equipment, material and subtrade costs. Monitor cost accruals and review with the Project Manager on a regular basis.
Identify the critical path and keep abreast of manpower loading and materials deliveries.
Assist with the drawings, drawing records, revisions, site instructions and change order.
Maintain all QA/QC documentation, maintains records of all testing and inspections.
Ensure that all work is completed accurately (i.e. survey).
Assist with the completion of estimates, estimate reviews and costing.
Other duties and tasks as assigned.
Job Requirements:
Qualifications and Experience:
Minimum of 3-5 years of related industry experience
Engineering degree (Mechanical, Civil/Structural, Electrical), or related degree; or an equivalent combination of education and related work experience
Strong computer background including experience with MS Word, Excel and scheduling software.
Skills and Knowledge:
Strong communication skills, confident interacting with key contacts in verbal, written and electronic form.
Knowledge of General construction processes: project set up; subcontract management; change orders; RFIs (request for information); lien holdbacks; closeout.
Capable of probing and listening carefully, presents information clearly in an appropriate style and persuades others in straightforward situations.
Willingness to contribute actively in team activities, sharing experiences and ideas.
Ability to work to deadlines and see tasks through to completion.
Proven track record of project coordination and team collaboration.
Working Conditions:
Office-based with frequent travel to project locations.
