The role will be responsible for managing a portfolio of initiatives for the same division, maintaining visibility of all key project information. In addition, the role will assist HR leaders and project leaders as needed in their efforts to coordinate and monitor the scheduling, resourcing and health of projects, ensure adherence to schedules, assist in developing solutions for issues & risks, and consult on metrics to evaluate delivering business outcomes that are completed on time and within approved cost.

Key Responsibilities:

• Support management of division portfolio including portfolio intake process, strategic roadmaps, portfolio dashboards & appropriate connections to service delivery (projects, product teams) for the division’s PMO
• Lead business planning process execution and coordination with firm/division stakeholders (Firm Strategy, DPM, Division Senior Leaders) as needed
• Develop, manage and publish division’s key performance indicators (KPIs)
• Maintain state-of-the-art knowledge on project management methodologies including Agile, Waterfall and Product Management; understands processes and when/how to appropriately use each methodology.
• Provide weekly administration of Clarity PPM (portfolio, resources, allocations, time tracking); provide Clarity training, reporting and share best practices with stakehoders as needed.
• Identify gaps in resource capacity based on team, role or skill. Escalate capacity gaps to leadership.
• Develop tools and leverage systems to effectively support operational and strategic resource management and analysis across division including Clarity PPM, Tabeau, Sharepoint, etc.
• Manage backlog of work requests, and coordinate/lead prioritization and status meetings, including assisting business leaders with identifying trade offs and risks in order to support portoflio needs.
• Support shared services analysts in meeting their commitments and addressing project variances, issue escalation and resolution by reviewing their plans and routinely tracking progress.

• Bachelor’s degree or higher from accredited college or university or equivalent experience
• 1-2 years managing multiple/concurrent projects at one time preferred
• Ability to multi-task; able to effectively handle multiple priorities/ responsibilities
• Experience operating within a PMO structure preferred
• Strong written, verbal, and active listening skills
• Qualified candidate will demonstrate attention to detail andpossess strong analytical skills
• Prefer familiarity with data analytics tools that supports resource management and decision making

Problem Solving:

• The Portfolio Leader may be responsible for meeting deadlines with a defined amount of resources and matching the available resources with the portfolio needs. When faced with time and resource challenges, the position will be responsible for identifying and exploring alternatives in order to select the best alternative that aligns with the portfolio and firm goals.
• The Portfolio Leader will identify conflicts between stakeholders and build a consensus when portfolio decisions reach an impasse.
• Must know when to escalate to leadership when problems are beyond the scope of their responsibility, ability or experience.
• Assist in the analysis and resolution of individual problems and provide recommendations with mentoring from an experienced Resource Manager. Generally, the problems include more than one issue with multiple consequences to each resolution.
• They will need to have the ability to identify, prioritize, monitor, communicate and resolve issues that can impact a small/medium project.
• Regulations, internal policies, procedures and guidelines exist that must be followed but still require significant and frequent interpretation to solve problems. Solution is recommended by this position for approval by the Senior Portfolio Leader, Team Leader or Department Leader.
• Solid understanding of department/division organization structure in order to engage the appropriate area for assistance in problem resolution.

Decision Making:

• The PMO Portfolio Leader needs to be able to present issues clearly, focus on desired results to recommend a solution and clearly communicate options to leaders. This role will make decisions with the assistance of the Resource Manager.
• Most routine daily decisions will be made independent of review. However, other decisions, such as resource commitments, will be subject to review by the Senior Portfolio Leader. Some decisions are made with guidance from the Team, Project, Program or Department Leader, based on recommendations from this role.
• This role requires regularly employing industry, firm and regulatory knowledge in decision making and communicating those decisions to stakeholders across the firm.
• Explores multiple alternatives and arrives at appropriate decisions, which align with department / division goals and/or firm values. These decisions are typically subject to review.
• Degree of risk is medium, as the more complex and risky decisions are subject to review by leadership.

Span of Influence:

• May work on multiple efforts at one time.
• May coordinate/delegate tasks or responsibilities to other project team members in the department.
• Affects and interacts with all levels of the firm. They are in frequent contact with the project team, leaders and associates in other departments and divisions.
• May participate in the planning process at the department level.
