Job Description of Medical Office Assistant – Part Time
Job Title: Medical Office Assistant (MOA).
Overview:
Medical office assistants (MOA) support doctors by performing a wide variety of clerical and administrative tasks. These include, for example, scheduling appointments, word processing, photocopying, filing, answering the phone, and correspondence.
Workers in this occupation must have excellent skills. They must also have the ability to be thoughtful and discreet. Organizational skills are also necessary for managing large amounts of detailed information.
Medical office assistant should be capable in working both independently and in a team setting. They must also be comfortable working under pressure.
Changes in office technology and, the evolving responsibilities of medical secretaries, mean that adaptability and resourcefulness are important qualities.
Work Environment:
MOAs will be working in a specialist office (Providence Hematology). This office has a group of hematologists who specializes in treating both malignant and benign hematological conditions. MOAs are assigned to work closely with 2 or 3 hematologists but are expected to share some other duties with other MOAs and do cross coverage when there is staff shortage and during lunch breaks etc. The office is open Monday to Friday 8 AM to 5 PM. It is closed on the weekends and statuary Holidays. The office is also closed over Christmas holidays from Dec 25 to Jan 1 and exact Christmas closure dates are determined on a yearly basis.
Due to the recent COVID 19 outbreak MOA’s have been working both in the office on a rotation schedule, and from home. The successful candidate would have to work well without supervision.

Medical office assistantsare most effective when they have the following skills and characteristics:

· The ability to maintain accuracy while doing multiple tasks or working under pressure.

· The ability to establish a professional relationship with patients and ensure that they have confidence in you.
· The ability to deal effectively with the difficult behavior’s that can sometimes be shown by people in distress.
· The ability to work independently or as part of a team.
· Medical office assistantsshould enjoy interacting with people. They should be comfortable with operating equipment such as computers and photocopiers. In addition, they should be skilled at compiling and organizing information.
· Able to be flexible and adapt to new or changing requirements.
Main Roles / Duties:
Medical office assistants may perform any or all of the following duties:
· Answer the phone, schedule and confirm medical appointments, greet patients, receive and communicate messages.
· Use health software, and other computer applications, to book appointments or prepare reports, invoices, financial statements, letters, case histories and medical records. Providence Hematology currently use Electronic Medical Record (EMR) named Profile provided by the IntraHealth company.
· Coordinate consultations, lab and diagnostic tests, and medical short stay unit (MSSU) bookings.
· Ask patients questions in order to complete intake forms or other documents.
· Transcribe, from handwritten notes, electronic dictation or oral instructions. Hematologists at Providence Hematology currently use either voice recognition software (Dragon) or independent transcription company (Expedite Transcription).
· Set up and maintain records management systems. This includes classifying electronic, and hardcopy files.
· Operate office equipment. This includes voice mail messaging systems, photocopiers, fax machines, and document scanners.
· Keep examination areas clean, orderly, and stocked with supplies.
· Use word processing, PDF, spreadsheet etc to handle patient data.
· Schedule and confirm medical appointments.
· Receive and communicate messages for medical staff and patients. For example, scheduling and confirming Medical Short Stay Unit appointments for transfusions chemotherapy, bone marrow biopsies etc.
· Start and continue confidential medical files and records.
· Decide, establish and follow office procedures and routines.
· May supervise and train other staff in procedures and in use of current software.
Part-time hours: 30 per week
Expected start date: 2021-08-09

Salary: $18.50-$21.00 per hour
