Funded by the Victorian Government, the Shepparton Line Upgrade will deliver more frequent services and will allow modern VLocity trains to travel to and from Shepparton for the first time. The $356 million Shepparton Line Upgrade will be delivered in three stages, Stage 2 includes platform extensions, upgrades to 59 level crossing and a stabling facility.

The Administrator, Commercial & Finance is based at the Port Melbourne project office and reports to the Manager, Finance Administration and is responsible for the administrative, financial and accounting tasks associated with their nominated subcontractors and suppliers. This role is critical in maintaining the contracts management process and registering to manage and control Alliance risk and maximize opportunities under the guidance of the Senior Contracts & Procurement Administrator.

Key Responsibilities:

• Ensure invoices are correctly addressed to the project, registered, coded, authorised, processed, paid and all relevant data archived in line with practical completion requirements
• Raising, Receipting and Maintenance of Purchase Orders
• Maintain open and proactive communications with both suppliers and project staff to ensure a highly efficient and accurate processing of creditor invoices and related matters
• Actively pursue and follow up outstanding items
• Administration of contracts supports Alliance and participant targets and is carried out in accordance with the PAA.
• Ensure all sub/contracts are scanned into the system and ensure documents are securely stored in accordance with business protocols
• Provide support to the project team for the effective management of subcontractor and supplier payments in accordance with the contract terms (including any security of payment requirements)
• Processing of Subcontractor and Supplier Invoices in SEO, ensuring that processing is completed in a timely manner and ensuring compliance with Security of Payment Act where applicable
• Accurate electronic Filing of invoices and all support documentation
• Preparation of accruals in accordance with the timelines detailed in the month end calendar, ensuring that 95% of accruals are only for the reporting period the remaining are no greater than two (2) months old.

Experience and Qualifications

· Formal qualification in accounting or commerce highly desirable but not essential.

· Minimum of 2 years in a similar role

· Demonstrated experience with accounts payable, invoicing, receipting and purchase orders.

· Good understanding of transactional accounting

· Experience in construction, engineering or similar highly desirable but not essential
